Effective December 29, 2006 for payroll distribution posted after July 1, 2006.
The Controller, in consultation with the Director of Office of Sponsored Programs (OSP), is responsible for reviewing and making decisions on requests for distribution changes beyond the 60 day window after the end of a quarter. The steps in the review process are described below.
7.1 Process for Late Request for Salary Redistribution

After the period for DLCs to make electronic changes to payroll distribution has passed (i.e., beyond 60 days past the end of the quarter), the DLC decides that salary redistribution is required. |

The DLC fills out the “Request for Late Change to Salary Allocation” form, available on the Payroll Forms web page: http://controllers.mit.edu/payroll/forms |

The DLC submits the Request for Late Change to Salary Allocation form to CAO Resource Group at cao-rg@mit.edu, for review before it is forwarded to the Controller. |

Within five business days of receipt, a CAO Resource Group representative logs and reviews the request on behalf of the Controller and either: |

Forwards the form and a preliminary recommendation regarding approval to the Controller and/or the Director of OSP via email. |

Sends the request back to the DLC for additional information and adjustment. |

Within ten business days after the form is forwarded to the Controller, who consults the Director of OSP.The two then make a decision regarding the request and: |

If approved, the request is forwarded to Payroll for processing with a copy to the requestor as notification. |

5.1.1 Payroll updates SAP accordingly. |

Or, if the request is not approved, notification of the declined request is sent to the DLC requester by CAO. |

7.2 Quarterly Reporting Process
On a quarterly basis, CAO Resource Group prepares a report of late change requests received and processed noting:
