3.0 Transfer of Equipment to a New Institution


3.1 Government-Owned Equipment

3.1.1

Letter to MIT Department Head by Principal Investigator requesting permission to take equipment to new institution.

3.1.2

Letter by MIT Department Head or Principal Investigator to Department Head of new institution asking them to accept responsibility for the equipment to be transferred.

3.1.3

Letter from Department Head of new institution to MIT Department Head or Principal Investigator requesting transfer of equipment, stating that they will accept accountability for the equipment, and providing a sponsor contract number.

3.1.4

MIT Department Head or Principal Investigator sends all material to the Property Office requesting approval to transfer the equipment.

3.1.5

MIT Property Office will conduct inventory of all equipment to be transferred.

3.1.6

MIT Property Office sends letter to sponsor requesting approval to transfer the equipment.

3.1.7

Sponsor sends back approval letter.

3.1.8

MIT Property Office notifies MIT Department Head and Department Head of new institution that approval has been given to transfer the equipment.

3.1.9

Equipment is transferred to new institution with the understanding that the new institution accepts custody to the equipment in its present condition and also accepts responsibility for all transportation costs.

3.2 Non-Government Owned Equipment

3.2.1

Letter to MIT Department Head by Principal Investigator requesting permission to take equipment to new institution.

3.2.2

Department Head approves transfer and sends all material to the Property Office.

3.2.3

Property Office will conduct inventory of all equipment to be transferred.

3.2.4

Property Office notifies Department Head that approval is given to transfer the equipment.

3.2.5

Equipment is transferred to new institution with the understanding that the new institution accepts title to the equipment in its present condition and also accepts responsibility for all transportation costs.
